How The New Wave IT Digitized the Fleet Management Chain for Moove
Moove is growing. So is their customers' fleet for last-mile delivery.
Two missing links were holding back that growth: reliable installation processing and automatic trip logging for drivers.
The New Wave IT built both systems from scratch to production, in close collaboration with Moove.
About Moove
Moove provides fleet performance as a service. They help organizations in the last-mile delivery sector make the most of their fleets by combining telematics, data, and operational expertise into a service that scales with their customers’ fleets.
To do that, they need reliable software—software that aligns with the way installers, drivers, and operations staff work. Not a generic platform, but applications that truly support the workflows of Moove and its customers.
The New Wave IT was brought on board as a Mendix partner to build two of those applications: MooveInstaller and MooveTrips.
The reason
Moove had an existing Mendix platform. The challenge wasn't the platform itself, but the missing pieces: reliable processing of vehicle installations and a modern way to replace manual trip logging.
Vehicle installations were processed through multiple separate systems. This was error-prone, labor-intensive, and difficult to audit. At the same time, drivers were logging their trips the same way they did twenty years ago: manually in a notebook or using generic tools.
GPS makes that notebook obsolete. Geotab automatically records every trip. But the step from driving data to a compliant trip report that a driver manages themselves was still missing. And for that to happen, installations first had to be processed correctly and in a standardized manner in MyGeotab.
A properly configured system enables reliable GPS data, which MooveTrips converts into useful trip records.
Strategic Process: Building on an Existing Foundation
Situation & Challenge
Moove already had a Mendix application. The goal was to further structure it and build two new applications that would integrate directly with the company’s operational workflows.
That requires more than just development capacity. It requires a partner who can help you think through architecture, priorities, and scalability. Which application should you build first? How do you ensure that the new apps communicate effectively with the existing platform? And how do you ensure quality as Moove’s team and its clients’ fleets continue to grow?
Our Approach
We didn’t start by building. We started by understanding: an analysis of the existing Mendix landscape and the desired applications. Based on that, we drew up a roadmap and, together with Moove, determined which priorities should be built first.
We mapped out the existing structure and developed a phased approach—not a “big bang” approach—for applications that are scalable and integrate well with the existing platform. As part of this, we established governance frameworks for security, performance, and data quality, ensuring that all applications are built according to the same standards.
From the very beginning, the business and IT teams worked together in a Competence Center, guided by shared guidelines and a joint roadmap. This lays the foundation for further development that Moove can steer on its own.
Structured Foundation
The existing Mendix platform was further structured and expanded with two new applications that can be used immediately in day-to-day operations.
Competence Center Active
Business and IT at Moove now collaborate systematically based on shared architecture guidelines and a joint roadmap.
MooveInstaller: Error-Free Processing of Vehicle Installations
Situation & Challenge
Vehicle installations—including installation, swap, and uninstallation—were processed through multiple separate systems. This led to wasted time, error-prone integrations, and additional pressure on support and CSM. Furthermore, it resulted in a large number of manual tasks.
It was difficult to ensure compliance without centralized logging. Errors in the asset mapping were discovered late, resulting in additional corrective work for the operations team.
Our Approach
We built MooveInstaller: a central Mendix application that handles the entire vehicle installation process digitally and in a standardized manner. From scratch to a working application in two months.
The Features
- Links assets and installation logs based on VIN/serial number
- Retrieves data from MyGeotab and GeoTabMyAdmin
- Validates installations using central business rules
- Processes and synchronizes everything back to MyGeotab and the Moove platform
- Centrally captures errors through logging and a complete audit trail
Fewer errors, less pressure on support
Validation based on central business rules catches errors before they enter the system. The operations team no longer needs to make corrections.
CSM focuses on distinctive tasks
Because routine tasks are automated, CSM employees have more time for work that truly adds value for customers.
Faster Onboarding in Geotab
Serial numbers are available in the system more quickly and accurately. Vehicles appear as operational sooner, which improves fleet planning.
Complete audit trail
Every installation, swap, or uninstallation is logged centrally. Compliance can be demonstrated without manual reporting.
MooveTrips: Automatic Trip Tracking for Every Driver
Situation & Challenge
Keeping a log of trips for business and tax purposes is a requirement for many drivers. But the traditional method—recording trips manually in a notebook or using generic tools—takes time, leads to errors, and is difficult to verify.
Our Approach
We built MooveTrips: a driver-focused Progressive Web App that converts Geotab data into a comprehensive, easy-to-use trip-logging system.
Whereas drivers used to have to keep track of everything manually, Geotab now automatically logs every trip. The driver opens MooveTrips, views their trips, and indicates for each one whether it was a business or personal trip. That’s all they need to do. The report generates itself.
Geotab logs data automatically; the driver categorizes it with a tap; the report generates itself. Push notifications capture any missed trips.
The Features
- Secure login with roles by organization and fleet
- Admin configuration with dynamic settings by country, applicable worldwide for zones and audit logging
- Driver dashboard with trip overview by category
- Detail page for each trip, with all the necessary information
- Integration with Geotab for automatic trip import
- Automatic push notifications when a driver forgets to categorize trips
- Automatically generate and share reports as PDF or Excel files
From Notebook to Automatic Recording
Geotab records every trip. The driver categorizes it in a matter of seconds. Manual tracking is a thing of the past.
Fewer uncategorized rides
Because the app actively sends push notifications and automatically imports trips, trips are categorized correctly more quickly and more often.
Faster and more reliable reports
PDF and Excel reports are generated automatically. No manual exports, no errors caused by outdated or missing data.
Compliance ensured, applicable worldwide
Country-specific admin settings ensure that registration complies with local tax requirements—without the driver having to do anything extra.
Scalable for growing fleets
MooveTrips is built as a multi-tenant platform. It supports multiple organizations and scales along with Moove’s customer base.
What this Moove project achieved
MooveInstaller and MooveTrips are not standalone projects. They are two links in the same chain: vehicle installations are processed correctly and in a standardized manner through MooveInstaller, and the data made available through this process is made usable for drivers through MooveTrips. The New Wave IT built both applications in close collaboration with the Moove team.
Working with The New Wave IT feels like working with well-coordinated and enthusiastic colleagues. The collaboration went smoothly right from the start; we worked efficiently and delivered two excellent applications within the set deadline that are actually being used.
Faster Vehicle Onboarding
The operations team processes installations without any subsequent corrections. Every installation, swap, or uninstallation is immediately logged, validated, and synchronized with MyGeotab.
Drivers can log their hours in compliance with regulations, without any manual work
Trips are automatically imported from Geotab. Categorizing them takes just seconds. Uncategorized trips have largely disappeared.
Tax Compliance Without Extra Effort
Moove serves customers in multiple countries without compliance becoming an operational issue. The rules are handled in the admin system, not as part of the driver’s workload.
Fewer questions, fewer corrections, less pressure on support
Errors are prevented before they enter the system. CSM employees have more time to focus on work that really matters, rather than putting out fires.
Scalable platform for Moove’s customers
Both apps are built to scale. New customers, new countries, new fleets: the architecture can keep up.
